# Team members and roles

> Add teammates to your StratEngine workspace, change roles between Admin, Member and Deactivated, and remove people.

[Workspace](/docs/account/workspaces) admins manage the team in **Settings** under **Organization User Management**: click **Add Member**, enter a teammate's work email, and click **Add**. Each person is an **Admin**, a **Member** or **Deactivated**, and admins can change roles or remove people from the same list.

<Note>
  Only admins see **Organization User Management**. Teammates must use an email at your workspace's domain, and workspaces created with a personal email address (such as Gmail or Outlook.com) can't add members.

## Roles

| Role | What they can do |
| - | - |
| **Admin** | Everything a member can. Admins also manage members and roles, add and remove any connection or synced cloud folder, handle all billing (plan changes, payment, invoices, coupons, funds and auto-refill), and set up VC folder watch. |
| **Member** | Use StratEngine normally: run analyses, upload private documents, connect their own export destination. Members see the plan, balance and usage, and are asked to contact an admin for billing changes. |
| **Deactivated** | Blocked from the workspace until an admin changes their role back. |

The note under the member list says **Admins have the ability to add or delete connections. All other access is the same.** Billing and VC folder watch are also admin-only. In VC mode, members see **Pitch Deck Forwarding Address** in **Settings** instead of the folder watch setup.

One person is also the **billing owner**, marked with a dollar icon next to their name. Only the billing owner can hand billing to someone else. See [Transfer billing ownership](/docs/account/transfer-billing).

## Add a member

<Steps>
  <Step title="Open Settings">
    Click **Settings** in the side menu. **Organization User Management** is at the top.
  </Step>

  <Step title="Click Add Member">
    An email field appears with the hint **Enter email...**
  </Step>

  <Step title="Enter their email and click Add">
    Use their work email at your company's domain. When it works you'll see **Member successfully added!**
  </Step>
</Steps>

What happens next depends on the person:

* **They already have a StratEngine account at your domain:** they move into your workspace as a **Member** right away.
* **They don't have an account yet:** StratEngine emails them an invite. They join your workspace as a **Member** when they sign up from that email. Invites expire after 7 days.
* **They were deactivated:** adding them again reactivates them as a **Member**.

<Tip>
  Anyone who signs up with an email at your company's domain joins your workspace as a **Member** automatically, even without an invite.
</Tip>

### Why adding someone can fail

| Message | What it means |
| - | - |
| Email domain '...' does not match tenant domain '...' | The email isn't at your workspace's domain. |
| Personal tenants cannot have multiple members | Your workspace was created with a personal email, so it can't have members. |
| Personal accounts can't join a firm workspace... | That person's existing account is a personal workspace. They need to sign in with their work email instead. |
| User is already an active member of this tenant | They're already on the team. |
| An invite is already pending for this email | You invited them already. Ask them to check their inbox and spam folder. |
| This user is the billing owner of their current workspace... | They must transfer billing ownership in their current workspace before they can join yours. |
| This user is the only admin of their current workspace... | They must make someone else an admin of their current workspace first. |

## Change a role

Each member row (other than yours) has a role dropdown. Choose **Admin**, **Member** or **Deactivated**. The change saves as soon as you pick it.

A workspace must always have at least one admin. You can't demote the last admin; make someone else an admin first.

The billing owner must stay an admin. Choosing **Member** or **Deactivated** for them shows **You must first transfer billing ownership to another user before changing their role**, and the role stays as it was. [Transfer billing](/docs/account/transfer-billing) first.

## Remove a member

<Steps>
  <Step title="Click the delete icon">
    Click the red trash icon at the end of the member's row. It turns into **Confirm Delete** for 10 seconds.
  </Step>

  <Step title="Click Confirm Delete">
    The person is removed from your workspace and moved to a new workspace of their own.
  </Step>
</Steps>

You can't remove yourself or the last admin. To remove the billing owner, transfer billing to another admin first; otherwise you'll see **You must first transfer billing ownership to another user before deleting**.

<Tip>
  To block someone temporarily without removing them, set their role to **Deactivated** instead. Set it back to **Member** or **Admin** to restore access.
</Tip>
