# VC plans and memo overages

> VC plans and memo allowances, overage charges, changing plans with proration, scheduled downgrades and cancellations, invoices and coupon codes.

There are five VC plans: **Free**, **Solo**, **Team**, **Network** and **Scale**. Each includes a memo allowance per billing period. Paid plans bill an overage charge for each memo beyond it. You manage the plan in **Settings** under **Billing & Account Management**: **Change Plan**, **Manage Payment**, **View Invoices** and **Cancel Subscription**.   Every billing action is admin-only: changing the plan, payment details, invoices, cancelling, scheduled-change buttons and coupons. Members see the plan, usage and billing period without the buttons. On the Free plan there's no paid subscription, so **Manage Payment**, **View Invoices** and **Cancel Subscription** aren't shown.

## The billing card

| Element | What it shows |
| - | - |
| **Current Plan** | Plan name, a **Monthly** or **Annual** badge, and a status: **Active** or **Past Due**. |
| **Memo Usage** | Memos used / allowance this period, with a bar that changes color at 80% and again at 100%. |
| **Billing period:** | Start and end dates of the current period. |
| Coupon badge | The active coupon code and its discount, if you have one. |
| Banners | A scheduled plan change or cancellation. See [Scheduled changes and cancellations](#scheduled-changes-and-cancellations). |

If the card shows **Unable to load billing information.**, click **Retry**.

## Memo allowance and overages

The header on Home, Upload and the framework editor tracks usage too: **N / M memos generated**, days left in the period, **Overages incur extra charges** at 80%, and **Extra charges apply** once you're past the allowance. On Free it shows **Uploads stop at your limit** and then **Limit reached. Upgrade to add more.** See [Finding your way around](/docs/vc/navigation#header-and-memo-usage).

* **Paid plans:** memos keep generating past the allowance. Each extra memo is billed as an overage. The plan picker states it: **All plans include** the per-memo rate **overage charges beyond your allotment.**
* **Free plan:** there are no overage charges. Once the allowance is used, uploads stop: dropping a deck opens the **Choose Your Plan** window for admins, and members see **Ask your admin to upgrade.** The plan picker says **Free plan uploads stop at your limit. Upgrade to keep going.**

The allowance resets at the start of each billing period.

## Change your plan

    The **Choose Your Plan** window opens with a **Monthly** | **Annual** toggle. Each card shows the price and memos per month (or per year on annual). Your plan is marked **Current Plan**.

    Each card's button tells you what it does: **Upgrade**, **Downgrade**, or **Switch to Annual** / **Switch to Monthly** for your own plan on the other billing interval.

    **Confirm Plan Change** shows the change (for example "Solo monthly → Team monthly"), the line items including proration credits for unused time on your current plan, and **Total due now**.

    Click **Confirm Change** for an upgrade or interval switch. For a downgrade the button reads **Schedule Downgrade**, and the window says **Takes effect on** the end of your current period. Click **Cancel** to go back to the plans. When it's done you'll see **Plan updated successfully.**

Upgrades take effect right away, prorated. Downgrades wait until the end of the current billing period, so you keep the higher allowance until then.

**From the Free plan,** picking a plan opens checkout in a new tab instead of the confirmation step. Your plan updates in StratEngine after checkout completes.

**If a payment failed,** the window shows **Your payment has failed. Please update your payment method before changing plans.** Click **Update Payment** to fix it in your billing portal first.

On paid plans, the window's footer also has **Manage Billing & Payment**, which opens your billing portal. If you aren't an admin, picking a plan shows **Only an admin can change the plan. Ask your account admin.**

## Scheduled changes and cancellations

| Banner on the billing card | What you can do |
| - | - |
| **Scheduled change to** a plan **on** a date | Click **Cancel** to keep your current plan. |
| **Your subscription will cancel on** a date | Click **Reactivate** to open the plan picker. It reminds you: **Selecting a plan will reactivate it.** |

## Payment, invoices and cancelling

On paid plans, each of these buttons opens your billing portal in a new tab:

* **Manage Payment**: update your card or billing details.
* **View Invoices**: see and download past invoices.
* **Cancel Subscription**: cancel your plan. You keep it until the end of the current period, and the card shows **Your subscription will cancel on** that date.

## Coupon codes

On paid plans, admins see an **Enter coupon code** field on the card. Type the code and click **Apply**.

| Message | Meaning |
| - | - |
| **Coupon applied!** | The coupon now shows as a badge on the card with its discount. |
| **Could not apply coupon.** | The coupon wasn't applied. Check the code, or contact support if it should be valid. |
| **Invalid coupon code.** | The code wasn't accepted. Check it and try again. |
